Terms of Service

1. Introduction

These Terms of Service ("Terms") govern access to and use of the Applybase website and the Applybase platform — a multi-tenant application management service through which educational institutions ("Institutions") operate branded application portals and manage admissions, and through which applicants ("Applicants") submit applications to those Institutions.

By using the website or the platform, you agree to these Terms. If an Institution has signed a separate master services or licensing agreement with Applybase, that agreement prevails over these Terms to the extent of any conflict.

2. The service

Applybase provides the software infrastructure for online applications: branded portals, guided application forms, document collection, applicant accounts, review workflows, and notifications. Admissions criteria, decisions, program offerings, and the content of each application are determined solely by the Institution. Applybase does not make, influence, or guarantee admissions decisions.

3. Accounts

You must provide accurate information when creating an account and keep your credentials confidential. You are responsible for activity under your account. Institution staff accounts may only be used by the individual to whom they are issued. We may suspend accounts that compromise the security or integrity of the service.

4. Acceptable use

You agree not to:

  • Submit false, fraudulent, or misleading application information or documents.
  • Access or attempt to access data belonging to another applicant or another Institution.
  • Probe, scan, or test the vulnerability of the service, or circumvent access controls.
  • Use the service to send spam or upload malicious content.
  • Scrape, resell, or sublicense the service without written permission.

5. Applicant content and documents

Applicants retain ownership of the information and documents they submit. By submitting an application, an Applicant grants the Institution they apply to — and Applybase, acting as the Institution's processor — the right to store and process that content for the purpose of evaluating the application and managing enrollment. Handling of personal data is described in our Privacy Policy.

6. Institution licensing

Institutions use the platform under a per-institution license agreed in a separate order form or services agreement, which specifies scope, fees, service levels, and data processing terms. Nothing in these Terms grants an Institution rights beyond that agreement.

7. Intellectual property

The platform, including its software, design, and the Applybase name and logo, is and remains the property of Applybase. Institution branding displayed on a portal remains the property of the Institution, which grants Applybase a limited license to display it for the purpose of operating the portal.

8. Availability and changes

We work to keep the service available and performant, and we schedule maintenance to minimize disruption during application deadlines wherever possible. We may improve or modify features over time; material changes affecting Institutions are communicated in advance.

9. Disclaimers and liability

The service is provided "as is" to the fullest extent permitted by law. To the maximum extent permitted by applicable law, Applybase's aggregate liability arising out of or relating to the service is limited to the fees paid by the relevant Institution in the twelve months preceding the claim, and Applybase is not liable for indirect or consequential damages. Nothing in these Terms limits liability that cannot be limited by law.

10. Termination

Applicants may stop using the service at any time; application data already submitted remains subject to the Institution's retention practices. Institution terminations are governed by the applicable services agreement. We may suspend or terminate access for material breach of these Terms.
